The Telios Program

Here's exactly what working with Telios looks like.

One account manager. Five named agents. SAP Concur. Proactive vendor negotiations. Quarterly business reviews. No call center, no surprises — a managed travel program that actually runs itself.

What's included
Named account manager — your single point of contact
Five named travel agents — real people, not a call center
SAP Concur — setup, transfer, or repair included
Vendor negotiations — hotels, cars, airlines from day one
Quarterly business reviews — spend data and savings opportunities
24/7 support — in-house agents, bilingual English/Spanish
The program

Six components. All included.

Every Telios client gets the same program — the same team structure, the same technology, the same proactive service model. Here's what that means in practice.

01

Your account manager

Every client has one named account manager — your single point of contact for everything. They own your program from day one: onboarding, policy configuration, vendor negotiations, quarterly reviews, and anything that comes up in between. You don't go through a general inbox. You have a person.

Handles all program-level questions — you never need to explain context twice
Presents quarterly business reviews with spend data, flagged savings, and policy recommendations
Proactively negotiates hotel and car rental rates — without being asked
Coordinates Concur setup, user onboarding, and ongoing configuration changes
02

Five named travel agents

Your travelers call or email and reach a real person — one of five named agents who know your company, your policy, and your travelers. Not a call center. Not a rotation of strangers. The same people, every time.

Business hours: 7AM–9PM Eastern, Monday–Friday — agent-assisted at $35/booking
After-hours and weekend support available — in-house agents rotate on weekends
Bilingual English/Spanish support across the full agent team
23-minute average email response time; 100% of calls answered within 3 rings
03

SAP Concur — set up and running

SAP Concur is the booking and policy enforcement platform your travelers use. As a SAP Concur Travel Partner, we handle everything: building your instance from scratch, transferring an existing one, or repairing a broken setup. Your travelers book online. Your finance team sees every transaction in real time.

New Concur setup: 3–4 weeks including policy configuration and team training
Transfer from another TMC: technically one day — full surrounding work a few days
Travel policy enforced automatically — spending limits, approval flows, cabin class rules
Typical Concur adoption rates of 79–93% across Telios clients
04

Vendor negotiations

From your first week, your account manager starts negotiating preferred rates with the hotels, car rental companies, and airlines your travelers actually use. You don't need to ask. We track your booking patterns, identify volume opportunities, and build contracts that belong to you — not to us.

Hotel rate negotiations based on your destinations and volume — typically 10–15% off rack rate
Car rental corporate rates negotiated from day one
Airline preferred programs — we consolidate your routes to build status faster
All contracts are yours — if you ever leave Telios, you keep every negotiated rate
05

Reporting & quarterly business reviews

Every quarter your account manager presents a full review of your travel program — where the money went, who's traveling most, what the policy compliance rate is, and where there are savings opportunities you haven't captured yet. Ad hoc reports are available anytime through GRASP.

Quarterly business reviews — spend by category, top travelers, airline and hotel breakdown
Policy compliance tracking — Concur adoption rates reported every quarter
Unused ticket tracking — credits proactively identified and applied before expiry
Ad hoc reporting available on request — no waiting for the next QBR
06

VIP & group travel

Your core program covers everyday corporate travel. For executives, high-frequency travelers, or company events, Telios offers additional coverage — VIP agent support with expedited SLAs, and full group travel management for offsites, conferences, and events.

VIP program — Premium (priority access) or Executive (dedicated named agent) tiers
9.4 min average first response time for VIP accounts
Group travel — hotel blocks, rooming lists, ground transport, full event logistics
Meetings & events managed end to end — site selection through post-event reconciliation
How we charge

Simple, per-transaction pricing. No surprises.

Most TMCs hand you a pricing sheet with 30 line items. Telios charges three ways — online booking, agent-assisted during business hours, and after-hours agent support. Account management, Concur implementation, and vendor negotiations are included in your program.

Online booking

Book on Concur

Flights, hotels, and car rentals booked directly through SAP Concur. One transaction fee per booking — regardless of how many components are in it.

Most bookings fall here — the goal is 79–93% Concur adoption.
After-hours support

Evenings & weekends

In-house agents rotate on weekends and are available for genuine travel emergencies outside business hours. Priced higher to reflect the coverage — used less frequently for domestic-focused programs.

Most domestic-focused clients rarely use this.

Specific rates vary by program volume. Contact us for a quote based on your travel spend.

Getting started

From contract to fully running — in 3 to 4 weeks.

Most companies are fully operational within a month of signing. Here's what that looks like.

01

MSA & kickoff

Master service agreement signed. Account manager assigned. Kickoff call to align on policy goals and timeline.

Week 1
02

Policy & Concur

Travel policy designed and configured. SAP Concur built or transferred. Traveler profiles created.

Week 1–2
03

Vendor negotiations

Hotel and car rental rates negotiated based on your destinations and volume. Preferred airline programs identified.

Week 1–2
04

Pilot & training

Small traveler group goes live first. Configuration issues caught before full rollout. Team trained on Concur.

Week 2–3
05

Full rollout

All travelers onboarded. Program live. Your account manager monitors adoption and flags anything that needs attention.

Week 3–4
Already have Concur?

If you're switching from another TMC and already have a Concur instance, the technical transfer takes a single day. The surrounding work — policy review, rate uploads, agent briefing — takes a few days. You could be fully running in under two weeks.

Very helpful to resolve an issue with a ticket that didn't book properly on the website. It took a couple of call-backs from Telios that Friday night and again on Saturday, but all was handled so I didn't lose the seat or the fare for my flight to China.

Common questions

About the Telios program

Managed service. You get SAP Concur as the booking platform, but Telios actively manages your program — account manager, named agents, vendor negotiations, quarterly reviews. You're not buying software and figuring it out yourself. You're getting a team that runs your travel program for you.

Our minimum is approximately $100K in annual travel spend. Our sweet spot is $100K–$2M — companies that are too small for enterprise TMCs but too active to manage travel manually. If you're not sure where you fall, reach out and we'll give you a straight answer.

The technical transfer of your Concur instance takes one day. The surrounding work — reviewing your existing policy, uploading vendor rates, briefing the agent team on your account — takes a few additional days. Most companies switching from another TMC are fully live with Telios within two weeks.

No — that's the point. Most of our clients don't have a dedicated travel manager. Travel is handled by an EA, a finance director, or an operations person doing it as a secondary responsibility. Your Telios account manager fills that gap. You have someone who owns the program without needing a full-time hire.

Navan is a self-service booking and expense tool. Telios is a managed travel program — we proactively run it, negotiate vendors, track unused credits, and bring insights to every quarterly review. If you want a tool you manage yourself, Navan may be right. If you want someone to take travel off your plate entirely, that's what Telios does.

Yes. The core program covers all your travelers. For executives or high-frequency travelers who need a higher level of support, we offer VIP tiers — Premium (priority access, expedited response) and Executive (dedicated named agent, concierge services). Most clients designate 2–3 VIP travelers within their broader program. Learn more about the VIP program →
