Getting started

A travel management company handles all aspects of your corporate travel program — booking flights, hotels, and car rentals through a platform like SAP Concur, negotiating rates with vendors, managing policy compliance, supporting travelers 24/7, and delivering regular reporting on what your company spends. Think of it as outsourcing your travel function entirely to a team of experts.

If your team travels regularly and travel is currently managed manually — or by someone for whom it's one of many responsibilities — a TMC will save you time and money. The break-even point for most companies is around $100K in annual travel spend. Below that, the management overhead may not justify the fees. Above it, a TMC almost always generates more in savings than it costs.

Telios is designed specifically for companies spending $100K to $2M on corporate travel annually. This is the range where you're too big to manage travel informally but too small to be a priority for enterprise TMCs like Navan, BCD Travel, or Egencia. We give mid-size companies the dedicated attention and proactive management those providers reserve for their largest accounts.

Not at all. Most companies that come to us don't have a formal travel policy — designing it is part of our onboarding process. We sit down with you, understand how your team travels, define spending limits, approval workflows, and cabin class rules, then configure SAP Concur to enforce it automatically. You don't need to arrive with anything in place.

The Telios program

Every Telios client gets: one dedicated account manager — your single point of contact who presents your quarterly business reviews — plus five named dedicated agents (real travel agents, not a call center), SAP Concur setup or transfer, travel policy design, proactive vendor negotiations from day one, unused ticket tracking and recovery, quarterly business reviews with spend analysis and flagged savings opportunities, ad hoc reporting, team training, and 24/7 emergency support. Group travel, meetings and events, and VIP and executive travel are also available.

Your dedicated account manager is your single point of contact for everything related to your travel program. They know your company, your travelers, and your policy. They meet with you regularly, present your quarterly business reviews, proactively flag savings opportunities, manage vendor negotiations on your behalf, handle Concur configuration changes, and are available when you need them. You always know who to call — there's no rotating team.

Your five named dedicated agents are real travel agents — industry professionals trained in corporate travel, not call center staff. They are assigned specifically to your account, know your travelers and your policy, and are available 24/7. Calls are answered within 3 rings and emails responded to in under 25 minutes on average. For emergencies — a canceled flight, a stranded traveler, an urgent change — they pick up the phone.

Your account manager presents a full program review every quarter covering: total spend trends year over year, airline and hotel spend breakdowns, top travelers by spend, Concur online adoption rate, unused ticket inventory, hotel rate vs. policy threshold analysis, and proactively flagged cost savings opportunities. We don't just send automated reports — we sit down with you, translate the data, and help you make decisions that drive real savings.

SAP Concur is the industry-standard corporate travel and expense management platform. It gives travelers a self-service booking tool for flights, hotels, and car rentals, enforces your travel policy automatically, and gives your finance team real-time spend visibility. Telios is a certified SAP Concur Travel Partner — we handle the full implementation, configuration, and ongoing management.

No. If you already have Concur, we simply transfer your existing instance to Telios. The technical transfer takes a single day. Your traveler profiles, travel policy, and booking history come with you — nothing is rebuilt. The surrounding work — reviewing your existing setup, uploading new negotiated rates, and briefing the agent team — takes just a few days.

Yes — this is one of the most common situations we encounter. We audit your current Concur configuration, identify what's broken or underutilized, fix approval workflows and policy rules, reactivate dormant traveler profiles, and retrain your team.

Concur adoption rate is the percentage of bookings made directly through the Concur platform versus through an agent. Higher adoption means lower per-booking costs for your company. Our clients typically achieve 79–93% Concur adoption rates. We track this in every quarterly business review and work with you to improve it through traveler education and policy configuration.

Switching to Telios

If you already have SAP Concur, the technical transfer to Telios takes a single day. The surrounding work — reviewing your existing setup, uploading new negotiated rates, and briefing the agent team — takes just a few days. If you're starting from scratch without Concur, the full implementation typically takes 3 to 4 weeks from contract signing to go-live.

If managed properly, disruption is minimal. We run a pilot period with a small group of 3 to 5 travelers before full rollout, which catches any configuration issues before they affect everyone. The full cutover is scheduled on a low-travel day — typically a Friday — and travelers log in Monday to a system that works.

Unused airline credits belong to the traveler or the company, not the TMC. They travel with you when you switch. One of the first things we do for every new client is conduct a full unused ticket audit and build a tracking system so credits are applied before they expire.

If your travelers are currently using a booking platform other than SAP Concur — Navan, Egencia, a proprietary tool, or anything else — switching to Telios means migrating to Concur. We handle the full setup: travel policy configuration, traveler profile creation, vendor negotiations, and team training. The process typically takes 3 to 4 weeks. We can also analyze your current spend and show you what the program would look like under Telios before you commit to anything.

Our Master Service Agreement commences on signing and remains in effect until terminated by either party with 30 days written notice. There is no fixed minimum term.

Pricing

Telios charges per transaction. There is a standard fee for self-service online bookings made through SAP Concur, and a higher fee for agent-assisted bookings during business hours (7am–9pm ET). After-hours agent support has a separate fee. There is no monthly per-user subscription. Account management, Concur implementation, vendor negotiations, and quarterly business reviews are all included at no additional charge.

There is a one-time implementation fee for Concur setup and onboarding. However, this fee is waived if your travel spend reaches at least 25% of your estimated annual budget within three months of go-live. In practice, most clients who are actively using the program meet this threshold comfortably.

Account management is included — there is no separate charge for your dedicated account manager, quarterly business reviews, Concur support, policy updates, or vendor negotiations. You pay per transaction when your travelers book.

Yes — pricing varies based on your annual travel spend and booking volume. Companies with higher travel spend typically receive more favorable per-transaction rates. Contact us with your approximate annual spend and we'll provide a clear quote.
